Privacy Policy

What we collect, why, and the lines we never cross — including the big one: your business data is never sold and never shared with third parties for their own purposes.

Version v1.0 · Effective October 25, 2026

1. Who we are and what this policy covers

Orderball is operated by [OPERATOR LEGAL NAME — to be confirmed] (“Orderball”, “we”, “us”) and runs on the Docklify platform. This Privacy Policy explains what information we collect when you use Orderball — the website, the web app and related services (the “Service”) — what we do with it, and the choices you have. It applies to you as the account holder and to your team members. Personal data about your own customers (for example, your buyers) is covered in section 2 and section 5: you are the controller of that data, and we process it only to provide the Service to you.

2. Information we collect

Account and workspace information: your name, email address, workspace name, plan and billing details, and the settings you choose. We never store your card number on our own servers — payments are handled by our payment provider.

Business data you enter or sync: products, inventory, orders, shipments, returns, suppliers and money records. When you connect a store, this includes order details about your buyers — names, delivery addresses, contact details and what they bought — because fulfilling their orders is the job you give us. We process that data on your behalf and under your instructions.

Connection credentials: when you connect a platform or carrier, we store the keys or tokens you provide (encrypted) so the connection keeps working. Usage and device information: how the Service is used, log data such as timestamps, error reports and feature activity, and basic device and browser information, so we can run, secure and improve the Service.

3. How we use information

We use the information above to: provide and sync the Service (including pulling and pushing data to the platforms you connect); run the AI assistant, Rollie, when you ask it for help; keep accounts secure and prevent abuse; send service messages that matter — connection failures, plan and usage notices, and important updates; provide support; and understand, in aggregate, how the Service is used so we can improve it.

4. What we never do

We do not sell your business data. We do not share it with third parties for their own purposes — not for advertising, and never with your competitors. We do not use your business data to train AI models for other customers. If we ever propose a new use that goes beyond running the Service for you, we will ask first.

5. When we share information

With the platforms you connect: syncing is the point of the Service, so data flows to and from your connected stores, marketplaces, carriers and other tools under your instructions and those platforms’ own terms and privacy policies.

With sub-processors who help us run the Service: hosting and infrastructure, email delivery, payment processing, error monitoring and AI infrastructure. They are bound by confidentiality obligations and may process data only to provide their service to us. And when the law requires it: if we receive a valid legal order, or must disclose information to protect our rights, our users, or the public, we may do so — and, where lawful, we will tell you.

6. AI processing

When you work with Rollie, the assistant reads the parts of your workspace needed to answer or act — for example, a connection’s error message, your stock levels, or an order’s status. AI features run on our infrastructure or with vetted AI sub-processors under the same confidentiality rules as section 5. Your conversations with Rollie are kept with your workspace so you can pick up where you left off, and so we can improve answer quality; they are not shared with other customers.

7. Cookies

We use essential cookies and similar storage to keep you signed in, remember your language and theme, and keep the Service secure. We may use privacy-respecting analytics to understand feature use in aggregate. We do not use advertising cookies, and we do not let advertisers track you across the Service. You can block cookies in your browser; signing in will not work without the essential ones.

8. How long we keep information

We keep account and business data while your workspace is active. If you cancel, you can export your data; we then delete or anonymise it within a reasonable period, except records we must keep for legal, tax or security reasons, and copies in backups, which age out on their normal cycle. Connection tokens are deleted when you disconnect a platform.

9. Security

We apply industry-standard safeguards: encryption in transit, encrypted storage of connection credentials, access controls, and monitoring. No system is perfectly secure, however — if we learn of a breach that affects your data, we will notify you without undue delay, as the law requires. Your part matters too: use a strong password and protect your credentials, as section 3 of the Terms explains.

10. Your rights and choices

Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing. Most of this you can do yourself in the app — edit your profile, export your business data, disconnect platforms, or delete your workspace. For anything else, write to support@orderball.com and we will respond within the time your law requires. For personal data of your buyers, please direct those requests to you as their seller; we will support you in answering them.

11. International transfers

We and our sub-processors may process information in countries other than yours, including the United States. Where the law requires safeguards for such transfers, we use appropriate contractual protections.

12. Children

Orderball is a business tool and is not directed at children. We do not knowingly collect personal data from anyone under 16. If you believe a child has given us data, contact us and we will delete it.

13. Changes to this policy

We may update this policy from time to time. The current version always lives on this page, with its version number and effective date at the top. Material changes will be announced in advance through the app or by email.

14. Contact us

Privacy questions or requests: support@orderball.com. Rollie can also point you to the right section of this policy any time.
